Aspire Group is a fast-growing real estate support team working with top real estate professionals in Ontario, Canada. We are looking for a
detail-oriented and organized Administrative Assistant / Client Care Coordinator
to support daily operations, documentation, marketing coordination, and client communication.
This is a
remote administrative role
focused on back-office support, coordination, and client follow-ups. No real estate license is required.
Key ResponsibilitiesAdministrative & Operations Support
Prepare and organize documentation related to property listings and transactions (templates provided)
Maintain client records and update CRM systems accurately
Manage calendars, appointments, and internal schedules
Respond to emails and messages professionally and in a timely manner
Perform data entry, reporting, and basic expense tracking
Keep digital files and records well-organized
Listing & Marketing Coordination
Assist with preparing property data sheets and internal reports
Coordinate with vendors for photography, staging, and marketing materials
Draft property descriptions and basic marketing content using provided guidelines
Assist in preparing flyers, brochures, and digital assets
Support social media posting and online marketing coordination (no ad spend handling)
Collect and organize feedback after property showings
Client & Team Coordination
Support communication between clients, agents, and service providers
Follow up with clients for updates, reminders, and feedback
Assist with client appreciation initiatives and gift coordination
Provide professional customer support and handle inquiries politely
Qualifications & Skills
2-5 years of experience in an administrative, coordinator, or support role
Prior experience in real estate, sales support, or client coordination is an advantage
Strong written and verbal English communication skills
Highly organized with the ability to manage multiple tasks
Comfortable working independently in a remote setup
Proficient in MS Word, basic Excel, Adobe tools, and CRM systems
Reliable internet connection and personal laptop required
Professional attitude and confidentiality awareness
