1. Roles & Responsibilities of a Quotation Executive
A. Quotation Preparation & Management
Prepare and send accurate quotations based on client requirements. Analyze customer inquiries and provide competitive pricing. Ensure quotations are aligned with company policies, profit margins, and market trends. Maintain and update quotation records for future reference.
B. Customer Communication & Coordination
Communicate with clients to understand their needs and provide relevant pricing. Clarify product specifications, services, and delivery timelines to customers. Follow up on quotations sent to clients to close deals. Handle customer queries and provide revisions to quotations when needed.
C. Market & Competitor Analysis
Research market trends and competitor pricing to offer competitive rates. Work with the sales team to strategize pricing models based on demand and competition. Suggest pricing adjustments based on market fluctuations and customer feedback.
D. Coordination with Internal Teams
Collaborate with sales, procurement, and finance teams to ensure pricing accuracy. Coordinate with suppliers for updated cost structures and product availability. Ensure all quotations are approved by management before submission.
E. Documentation & Reporting
Maintain records of all quotations, customer feedback, and order conversions. Generate reports on quotation performance and conversion rates. Update CRM or ERP systems with quotation details and client interactions.
