This role is pivotal in ensuring smooth procurement and contractor billing processes. The clerk acts as the bridge between procurement, accounts, and project execution teams, maintaining accuracy, compliance, and timely documentation.
Key Responsibilities
1.
Purchase Order (PO) Management
Track PO status--dispatch, acknowledgment, delivery timelines, and amendments.
Maintain a digital and physical repository of all POs for audit and reference.
2.
Contractor Bill Processing
Receive and scrutinize contractor bills for accuracy, completeness, and compliance with work orders or contracts.
Coordinate with Quantity Surveyor/Project managers for bill certification.
Apply deductions as per contract terms (e.g., retention, advances, penalties).
Forward certified bills to accounts/Head office for timely payment processing.
Track Bills status--dispatch, acknowledgment, delivery timelines
3.
Documentation & Record-Keeping
Maintain logs of POs, work orders, and contractor bills with status updates.
Ensure all supporting documents (e.g., delivery challans, work completion certificates, tax invoices) are attached.
Archive records systematically for audits and MIS reporting.
4.
Coordination & Communication
Liaise with vendors, contractors, and internal departments (procurement, accounts, project teams).
Resolve discrepancies in POs, invoices, or work certifications.
Follow up on pending approvals, clarifications, or missing documentation.
5.
Compliance & Controls
Ensure adherence to company policies, tax norms (GST, TDS), and statutory requirements.
Flag any deviations or irregularities in billing or procurement processes.
Support internal and external audits with required documentation.
6.
Skills & Tools Required
Knowledge in ERP systems .
Strong Excel and documentation skills.
Attention to detail and numerical accuracy.
Basic understanding of taxation and commercial terms (GST, TDS, retention, etc.).
Good communication and coordination abilities.

Qualification
Preferred graduate
1-3 years of experience in similar role from construction background
