We are hiring for a reputed hospitality group for the position of Purchase Manager to manage end-to-end procurement of construction materials for a prestigious 5-star hotel project. The role will be responsible for strategic sourcing, vendor management, cost control, and ensuring timely availability of materials at site. The incumbent will be expected to operate with ERP and e-procurement tools, lead vendor performance programs, and deliver measurable procurement KPIs.
Key Responsibilities
Manage procurement of all construction materials: cement, steel, sand, aggregates, tiles, marble, sanitaryware, electrical, plumbing, HVAC, fire-fighting, and finishing items; align purchases to BOQ and project schedules.
Lead strategic sourcing, RFx/tendering, and negotiate contracts, LTAs and frame agreements to optimize cost, quality and delivery terms.
Operate procurement processes through ERP (PO creation, approvals, GRN, invoicing) and maintain accurate material records in inventory/store systems.
Coordinate closely with Project, Engineering, Procurement, and Site teams for material take-offs, MRP inputs, delivery schedules and change management.
Implement and manage inventory control systems at site (WMS/barcode/RFID where applicable), perform periodic stock reconciliations and cycle counts.
Drive cost optimization and value-engineering initiatives; track and report procurement savings against budgeted/forecasted spend.
Monitor vendor performance (delivery adherence, quality, lead times) and maintain a supplier scorecard; initiate corrective actions for underperformance.
Ensure material quality through inspection routines, third-party testing coordination and compliance with statutory and safety requirements.
Handle imported materials including vendor liaison, shipping, customs/clearance coordination, INCOTERMS, LCs and freight management (where required).
Prepare timely MIS and analytics on purchases, savings, vendor performance, lead times, stock status and exceptions; present insights to senior project stakeholders.
Lead, mentor and develop the procurement and store teams; drive process standardization and continuous improvement (SOPs).
Key Performance Indicators (KPIs) to be Tracked
Procurement Cost Savings (% of spend) -- measured savings from negotiations, substitutions and value engineering.
Purchase Order Cycle Time (days) -- time from requisition to PO issuance.
On-Time Delivery (OTD %) -- percentage of deliveries received by agreed delivery date.
Inventory Days of Supply / Days on Hand (DOH) -- efficiency of inventory holdings versus project requirements.
Stock-out incidents and emergency purchases -- frequency and impact on project schedule.
Inventory accuracy (%) and GRN timeliness.
Vendor Performance Score (composite of quality, delivery, compliance and responsiveness).
Quality Rejection Rate (%) on inbound materials.
Purchase compliance rate (PO vs. spend without PO).
Required Skills, Tools & Systems
ERP & procurement systems: hands-on experience with SAP (MM), Oracle EBS, Microsoft Dynamics 365 or similar procurement modules.
E-procurement / sourcing platforms: experience with Ariba, Coupa or other RFx/tendering tools is a plus.
Inventory & store systems: WMS, barcode/RFID systems, material issue and GRN workflows.
Project integration tools: familiarity with Primavera P6 or MS Project for aligning material deliveries to project schedules.
Reporting & analytics: advanced MS Excel (pivot tables, VLOOKUP/XLOOKUP, macros), Power BI or Tableau for MIS and dashboarding.
Contract & logistics knowledge: INCOTERMS, LC documentation, import clearance, freight and vendor lead-time management.
Technical procurement skills: BOQ take-offs, MRP fundamentals, vendor qualification, inspection and QA/QC coordination.
Soft skills: strong negotiation, stakeholder management, commercial acumen, risk management and leadership.
Candidate Profile
Graduate in Engineering / Commerce / Supply Chain (MBA preferred). 10+ years of experience in procurement, with strong exposure to construction material purchasing. Experience in 5-star hotel, luxury real estate, or premium construction projects will be highly preferred. Proven experience with ERP procurement modules (SAP MM, Oracle, D365) and advanced Excel/BI reporting. Strong skills in vendor negotiation, budgeting, logistics coordination, inventory management, BOQ take-offs, and implementing supplier performance programs. Certifications such as CIPS, CPSM or equivalent are desirable but not mandatory.
