Job Overview:
The Purchase Executive is responsible for managing the end-to-end procurement process, ensuring that materials, goods, and services are acquired at the best prices, in a timely manner, and according to company standards and specifications. The role involves vendor management, order processing, inventory control, and ensuring compliance with internal policies and external regulations.
Key Responsibilities:
1.Procurement & Purchase Management
- Identify and evaluate potential suppliers/vendors.
- Source materials, goods, and services according to project or business needs.
- Negotiate with suppliers on pricing, payment terms, and delivery schedules.
- Place orders, ensuring that purchase orders are properly documented and tracked.
- Monitor order fulfillment and delivery to ensure timely receipt of goods.
2. Vendor Management:
- Develop and maintain strong relationships with key suppliers and vendors.
- Evaluate supplier performance on quality, cost, and delivery timelines.
- Resolve any issues related to orders, quality, or payment disputes with suppliers.
- Maintain an updated database of suppliers and their contact details.
3. Inventory & Stock Management:
- Monitor inventory levels and reorder supplies as necessary to avoid stockouts.
- Track and manage the stock levels, ensuring timely reordering to maintain smooth operations.
- Keep an eye on excess inventory to prevent overstocking.
4. Cost Control:
- Conduct cost analysis to identify cost-saving opportunities.
- Negotiate best pricing and payment terms to reduce procurement costs.
- Maintain records of procurement expenses and track against the budget.
5. Documentation & Reporting:
- Ensure all procurement-related documents (purchase orders, receipts, vendor contracts, etc.) are accurate and properly filed.
- Prepare regular procurement reports for management, including cost analysis and supplier performance metrics.
6. Compliance & Quality Control
- Ensure compliance with company policies, procurement standards, and industry regulations.
- Perform quality checks on delivered goods to ensure they meet specifications and quality standards.
- Address non-compliance issues with vendors or internal stakeholders.
7. Collaboration:
- Work closely with other departments such as Finance, Accounts, and Production to ensure smooth procurement operations.
- Communicate procurement requirements and timelines to internal stakeholders.
Qualifications:
- Educational Requirements:
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
- Certification in Procurement (e.g., CIPS, CPIM) is a plus.
- Experience:
- 3.5+ years of experience in procurement, purchasing, or supply chain management.
- Experience with supplier negotiation and cost management is highly desirable.
- Skills & Abilities:
- Strong negotiation and vendor management skills.
- Excellent communication and interpersonal skills.
- Proficient in procurement software, MS Office (Excel, Word), and ERP systems.
- Attention to detail and ability to prioritize tasks.
