Role Description
The Assistant in the Purchase Department will support procurement activities by coordinating with vendors, ensuring timely delivery of quality goods and services, and maintaining accurate purchase records. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced hospitality and wellness environment.
Key Responsibilities
Assist the Purchase Manager in sourcing vendors and suppliers for goods, equipment, and services.
Obtain and compare quotations, negotiate pricing, and ensure cost-effectiveness.
Prepare purchase orders and maintain records of all procurement transactions.
Coordinate with vendors for timely delivery and resolve discrepancies related to quantity, quality, or billing.
Work closely with the Accounts and Stores departments to ensure smooth material flow.
Monitor inventory levels and assist in replenishment planning.
Ensure all procurement activities comply with organizational policies and quality standards.
Support in vendor evaluation and maintaining a strong supplier database.
Assist in preparing periodic reports on purchase activities, cost savings, and market trends.
Qualifications & Skills
Graduate in Commerce/Business Administration/Supply Chain or a related field.
1-3 years of experience in purchase/procurement, preferably in hospitality, healthcare, or wellness industry.
Strong negotiation, communication, and vendor management skills.
Knowledge of purchase procedures, taxation, and billing practices.
Proficiency in MS Office (Excel, Word) and ERP/POS systems (preferred).
Ability to multitask and meet deadlines with attention to detail.
Positive attitude, integrity, and commitment to organizational values.
