Job Description

Position Overview



The Purchase & Inventory Executive will be responsible for the efficient management of company stores, procurement of utilities, and inventory control. The role includes maintaining accurate stock records, overseeing dispatch & courier operations, and ensuring timely servicing of assets and materials. This position requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities simultaneously.

Key Responsibilities



1. Stores & Inventory Management



Maintain accurate records of all materials, equipment, and assets in the store. Regularly update inventory details in the software system. Implement barcoding or numbering systems for new inventory for easy tracking. Prepare and update weekly and monthly inventory reports, highlighting damages, shortages, or missing items. Ensure proper storage, safety, and upkeep of materials at all times. Conduct periodic physical stock verification and reconciliation with system records.

2. Purchases & Utilities Management



Handle procurement of utilities, consumables, and materials as per company requirements. Maintain vendor lists and build strong relationships with suppliers. Track purchase orders, deliveries, and ensure timely availability of required items. Optimize purchase processes to ensure cost-effectiveness and quality.

3. Maintenance & Asset Tracking



Maintain records of company vehicles and ensure timely renewals of insurance, fitness, pollution checks, and servicing. Track and record details of fire extinguishers and ensure periodic inspection and refilling. Oversee repair and maintenance tasks, allocating duties to painters, tailors, or other service providers as required. Maintain service records and ensure timely upkeep of all company assets.

4. Dispatch & Courier Handling



Coordinate and manage the dispatch of materials, documents, and goods. Liaise with courier and logistics partners to ensure timely and accurate deliveries. Maintain records of all dispatches and receipts for tracking and accountability.

5. Documentation & Reporting



Maintain organized records and documents of all store items, purchases, and services. Generate and share periodic reports with management on stock status, damages, and consumption trends. Ensure compliance with company policies and audit requirements in all store and purchase activities.

Key Skills & Competencies



Strong knowledge of inventory management systems and MS Office. Good negotiation and vendor management skills. Attention to detail with strong organizational skills. Ability to multitask and handle operational responsibilities effectively. Basic knowledge of asset maintenance and compliance tracking.

Qualifications & Experience



Graduate in Commerce, Supply Chain, or a related field. 2-4 years of experience in stores, inventory, or purchase management. Experience in event management, hospitality, or related industries will be an added advantage.

Pay: ₹15,000.00 - ₹35,000.00 per month
