Public relations officer cum Front Office Manager will be responsible for the smooth functioning of the school's front office operations. This role requires excellent communication skills, organizational ability, and a professional demeanor to ensure that all visitors, parents, staff, and students are attended to efficiently and courteously. The Front Office Manager will also oversee reception staff, manage administrative support activities, and maintain a welcoming environment in line with the school's values and standards.
Key Responsibilities
Parent & Community Engagement
Serve as the communication point between the school and parents regarding events, notices, and updates.
Address and resolve parent inquiries or complaints in a professional manner.
Organize parent orientation programs, open houses, and community engagement activities.
Front Office & Reception Management
Supervise and manage day-to-day operations of the school front office.
Ensure visitors, parents, and students are received politely and guided appropriately.
Maintain a welcoming, professional, and child-friendly atmosphere at the reception.
Oversee the visitor management system, including ID cards, logbooks, and security protocols.
Administrative Responsibilities
Manage incoming and outgoing correspondence (phone calls, emails, couriers, notices).
Maintain accurate records, files, and communication logs.
Coordinate with various departments for smooth information flow.
Handle appointments, meeting schedules, and communication for the Principal / School Head.
Assist in organizing school events, parent meetings, and official functions.
Team & Supervision
Supervise and train reception/front desk staff.
Delegate tasks and ensure front office staff adhere to protocols.
Monitor performance and maintain discipline within the front office team.
Parent & Student Coordination
Address parent queries and concerns professionally and escalate as required.
Provide information regarding school policies, procedures, and activities.
Support student-related administrative tasks (late entries, permissions, gate passes, etc.).
Compliance & Reporting
Ensure adherence to school policies and regulatory requirements.
Prepare and submit regular reports to the Principal/Administration.
Maintain confidentiality of school, staff, student, and parent information.
