Job Purpose:
The Executive Project Assistant plays a critical role in managing and supporting internal projects aimed at improving the organization's processes, systems, and operations. This role involves assisting in the planning, execution, monitoring, and closing of internal projects, ensuring that they align with company goals and deliver value to the organization. This role involves collaborating with stakeholders, analyzing current processes, and designing solutions to improve productivity and performance.
Job Responsibilities:
Implementing and monitoring changes to ensure they meet desired outcomes.
Creating detailed process documentation, including flowcharts, diagrams, and standard operating procedures (SOPs).
Maintaining accurate records of process changes and improvements.
Working closely with all company departments and management to ensure alignment of process improvements with business goals.
Facilitate meetings to gather information and feedback from stakeholders.
Prepare reports and presentations to communicate findings and recommendations to stakeholders.
Participate in planning and executing projects related to process improvements and IT initiatives.
Design new processes or refine existing ones to improve operational efficiency and effectiveness.
Develop and recommend process improvements based on analysis and best practices.
Provide administrative support for internal project activities, including scheduling, coordination, and correspondence. Assist project managers with various administrative tasks as needed.
Provide training and support to staff on new processes and tools (if necessary)
Address any issues or questions related to process changes.
Ensure processes comply with relevant industry standards, regulations, and internal policies.
Monitor and enforce process standards and guidelines.
Analyze existing IT processes to identify inefficiencies, bottlenecks, and areas for improvement.
Collect and document stakeholder requirements to understand their needs and challenges.
Job Requirements:
0-1 years of experience in project Management.
Preferably an MBA with specialization or background in Analytics
Strong analytical and problem-solving skills.
Proficiency in process mapping and documentation tools and methodologies.
Familiarity with IT systems, software, and technologies.
Excellent communication and interpersonal skills.
Ability to manage multiple projects and prioritize tasks effectively.
Detail-oriented with a focus on accuracy and quality.
