Key ResponsibilitiesDocument ManagementMaintain document control systems and databases



Ensure proper filing, numbering, and indexing of all project documents



Manage document versions and revisions tracking



Coordinate document distribution to relevant stakeholders



Implement and maintain document retention policies



Quality ControlReview documents for completeness, accuracy, and compliance



Ensure adherence to company standards and client requirements



Conduct regular audits of document management systems



Maintain confidentiality and security protocols



Coordination & CommunicationLiaise with project teams, architects, engineers, and contractors



Facilitate document review and approval processes



Communicate document status updates to project stakeholders



Support project meetings with document preparation and distribution



Administrative SupportPrepare and maintain document registers and logs



Generate reports on document status and project progress



Archive completed project documentation



Assist with regulatory compliance documentation



Required QualificationsEducation & ExperienceBachelor's degree in any field (Engineering, Business Administration, Construction Management, or related field preferred)



1-3 years of progressive document control experience in construction, real estate, or related industries



Demonstrated experience managing complex project documentation lifecycles



Proven track record in commercial real estate or large-scale construction projects



Technical SkillsExpert proficiency in document management software



Advanced Microsoft Office Suite skills



Knowledge of CAD software and drawing management



Familiarity with project management systems and methodologies



Core CompetenciesStrong attention to detail and organizational skills



Excellent written and verbal communication



Ability to work under pressure and meet deadlines



Deep understanding of construction/real estate terminology and processes



Problem-solving and analytical thinking skills



Leadership capabilities and mentoring experience



Preferred QualificationsExperience with BIM (Building Information Modeling)



Knowledge of industry standards (ISO 9001, construction codes)



Previous senior-level experience in commercial real estate projects



Certification in document control or project management



Experience training and supervising junior staff



Working ConditionsOffice environment with occasional site visits



Standard business hours with potential for overtime during project milestones



Collaboration with diverse, cross-functional teams



Fast-paced, deadline-driven environment



May require travel to project sites
