About the Role:
We are seeking a proactive and detail-oriented Project Coordinator who will directly support the Head - Assets & Safety and work closely with the CEO. This role involves cross-functional coordination, executive support, and internal/external communication. The ideal candidate will be organized, responsive, and able to manage multiple priorities effectively
.
Key Responsibilities (KRA):
1. Executive & Leadership Support
Attend meetings with the Head and CEO, document and circulate Minutes of Meetings (MoM)
Follow up on key action items and ensure timely execution
Manage calendar scheduling, reminders, and coordination with departments
Maintain high-level reporting and ensure smooth information flow
2. Internal Coordination (80%)
Act as a central point of contact across teams: Dispatch, Brokerage, Business Development, Compliance, and Accounts
Track day-to-day department activities, maintain hygiene checklists
Ensure teams are prepared for meetings (e.g., data, PPTs, reports)
Monitor project timelines and keep leadership updated on progress
3. External Coordination (20%)
Connect with clients, customers, drivers, and vendors for feedback and updates
Coordinate logistics like ticket booking, reimbursements, and external communication
Serve as a communication bridge between external vendors and internal teams
4. Recruitment Assistance (Occasional)
Support in hiring Truck Drivers once or twice a month as needed
Create job postings, screen applications, and schedule interviews
Maintain onboarding and probation status records
5. Admin & Event Support
Assist in coordinating internal events (e.g., Diwali, Christmas, driver appreciation activities)
Maintain event checklists and coordinate with the admin team
Candidate Profile:

Excellent communication (written & verbal)
Strong organizational and multitasking ability
Proactive, problem-solving mindset
Prior experience working in a structured coordination or executive assistant role
Preferred Background:
Experience in
Logistics/Transportation/Trucking industry
Exposure to
US market or international work settings

Compensation & Benefits
Salary: ?30,000 - ?35,000 (in-hand, maximum)
