Job Overview:
We are seeking a highly organized and proactive
Project Coordinator
to manage and support end-to-end project operations across
Recruitment Process Outsourcing (RPO)
and
Sales Operations & Enablement (SO&E)
functions. The role involves planning, scheduling, coordinating, and tracking project activities to ensure seamless execution and timely delivery for both internal teams and external clients.
Key Responsibilities:
1.
Project Planning & Scheduling
Assist the Project Manager in defining project scope, deliverables, and timelines.
Develop project schedules, timelines, and Gantt charts using tools like Asana, Trello, or Zoho.
Coordinate with internal teams (R&D, content, design, operations) to align task assignments with capacity and priority.
Assign tasks to internal and external stakeholders, including vendors and outsourced teams, based on project scope and deadlines.
2.
Team Coordination & Resource Allocation
Track availability of team members and assign resources effectively.
Monitor task progress and ensure timely execution.
Organize regular team meetings, stand-ups, and status review sessions.
3.
Client Coordination & Communication
Serve as a secondary point of contact for clients, maintaining consistent and professional communication.
Document project changes, feedback, and communicate adjustments in scope or deadlines.
Support and prepare for client meetings, including agenda planning and minutes of meetings (MoM).
4.
Documentation & Reporting
Maintain accurate records of all project documentation, including risk logs, issue trackers, and status updates.
Prepare weekly and monthly reports on project progress, resource utilization, and delivery milestones.
Update project dashboards and internal databases consistently.
5.
Quality Control & Delivery Readiness
Collaborate with QA teams to ensure deliverables meet quality standards.
Verify completeness of delivery documentation and ensure client-ready outputs.
Manage dispatches, approvals, and version control to ensure timely delivery.
6.
Risk Management & Escalation Handling
Identify project bottlenecks and escalate issues with recommended mitigation strategies.
Track project delays and work with relevant teams to implement corrective actions.
7.
Performance Monitoring
Assist in tracking team and individual performance metrics.
Collect and consolidate performance data for reviews and feedback sessions.
Qualifications:
Education:
Bachelor's or Master's degree in Business Administration, Human Resources, Operations, or a related field.
