Role Overview
The Project Coordinator will act as the central link between India-based operations and U.S.-based field teams. The primary responsibility includes daily coordination of job assignments, tracking execution, ensuring timely deliverables, and maintaining consistent communication with stakeholders including the Customer Relationship Manager (CRM), Head of Operations, and Head of Quality.
The coordinator will oversee 5-15 field teams across multiple U.S. states to ensure operational efficiency, timely project completion, and adherence to company standards.
Key Responsibilities
1. Team Coordination & Job Management
Assign daily jobs to 5-15 U.S.-based field teams based on project priority and region.
Track job progress using internal tools and ensure timely completion of tasks.
Follow up with field teams to resolve on-ground issues and escalate critical challenges.
Maintain accurate documentation of job statuses -- received, in-progress, and submitted.
2. Travel & Logistics Management
Coordinate travel arrangements including flights, hotels, and rentals as per company policies.
Ensure cost-effective and timely bookings with updated itineraries.
Manage last-minute travel adjustments or emergencies for field teams.
3. Stakeholder Communication
Act as the communication bridge between:
Field Teams and Head of Operations (US)
Quality Team for job validation and submission
Customer Relationship Manager for project updates and client coordination
Maintain timely and transparent communication on project progress, issues, and deliverables.
Prepare and present daily/weekly summary reports for management review.
4. Operational Tracking & Reporting
Maintain dashboards or trackers (Excel/SharePoint/Power BI) for job allocation and progress monitoring.
Identify bottlenecks and proactively propose corrective measures.
Incorporate feedback from QC and clients into process improvements.
5. Process & System Enablement
Collaborate with IT teams to enhance internal apps, trackers, and reporting tools.
Suggest automation or workflow improvements to increase visibility and efficiency.
Contribute to building communication and performance tracking systems.
Skills & Competencies
Excellent organizational and multitasking ability.
Strong written and verbal communication in English.
Proficiency in Microsoft 365 (Excel, Teams, SharePoint, Power Automate) or equivalent tools.
Decision-making skills under time-sensitive conditions.
Experience coordinating projects across global or U.S. time zones preferred.
Familiarity with telecom or field operations workflows is an advantage.
Qualifications
Bachelor's degree in Engineering, Business Administration, or a related discipline.
3-6 years of experience in project coordination or operations management.
Prior experience working with U.S.-based clients or operations preferred.

Competitive salary based on experience and aligned with U.S.-time support roles.
5-day work week (aligned to U.S. working calendar).
Occasional weekend availability during high-priority project deliveries.
