We are looking for a detail-oriented Junior Project Coordinator to serve as the organizational backbone of our indie VFX studio. You will be responsible for facilitating information flow, optimising schedules, and maintaining strict data integrity. Your primary goal is to bridge the gap between client needs and artist execution, ensuring the creative team can focus on production while you handle logistics, tracking, and file standards.
Key Responsibilities
Information Flow & Client Communication
Act as the primary point of contact for ingesting incoming client information and feedback.
Take precise, actionable notes during reviews and meetings.
Translate client notes immediately into clear, tracked tasks for artists to ensure no feedback is overlooked.
Schedule & Task Management
Manage daily artist schedules to ensure maximum efficiency.
Identify and assign "parallel tasks" (e.g., prep work or administrative checks) that artists can complete while waiting on renders or other dependencies.
Monitor render queues and background processes to minimize downtime.
Unblock artists by handling administrative hurdles and logistical questions.
Data Integrity & File Structure
Enforce File Standards: Ensure strict adherence to the studio's directory structure and naming conventions across the entire team.
Convention Translation: Manage the translation of assets between legacy naming schemes and current project conventions, ensuring continuity.
Asset Lifecycle: Responsible for organizing active assets and properly archiving completed content to maintain server health.
Reporting & Tools
Maintain detailed production trackers using Microsoft Excel and Google Sheets.
Update and maintain internal documentation and knowledge bases using Logseq (training provided).
Requirements
Extreme Organization: You must have a natural aptitude for categorizing information and spotting inconsistencies in lists, file names, or schedules.
Problem Solving: Ability to figure out logistical solutions independently in a fast-paced environment.
Technical Proficiency:
Strong command of Microsoft Excel and Google Sheets.
Willingness to learn new organizational software (Logseq).
Communication: Excellent written communication skills; ability to synthesize complex feedback into
simple instructions.
Preferred (Bonus)
Prior experience or internships in an indie VFX, Animation, or Game studio.
Familiarity with basic VFX terminology (e.g., rendering, compositing, assets) is a plus, though technical
DCC knowledge (Maya, Nuke, etc.) is not required.
