The Project Associate - Communications supports the Communications team within a NewSpace research and technology organization by providing strong administrative, coordination, and cross-functional team (CFT) support. This role ensures smooth information flow, effective coordination across technical, research, and business teams, and efficient execution of communication-related initiatives.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a fast-paced, technology-driven environment.
Key Responsibilities

Administrative & Coordination Support
Provide administrative support to the Communications team, including scheduling meetings, managing calendars, and organizing documentation.
Coordinate cross-functional team (CFT) activities involving research, engineering, program management, and external partners.
Track action items, deliverables, and timelines across multiple stakeholders and follow up to ensure closure.
Prepare agendas, take meeting minutes, and distribute summaries and action trackers.
Communications & Content Facilitation
Support internal and external communication initiatives by coordinating inputs from technical and non-technical teams.
Assist in the preparation, review, and circulation of communication materials such as presentations, briefs, reports, and announcements.
Maintain organized repositories of communication assets, templates, and reference materials.
Cross-Functional Team (CFT) Management
Facilitate alignment across teams by ensuring timely information exchange and clarity on communication requirements.
Support coordination for reviews, workshops, events, and stakeholder engagements.
Process & Operations Support
Help establish and maintain communication workflows, trackers, and standard operating procedures.
Support reporting activities, including status updates and progress summaries for leadership.
Assist with vendor coordination, approvals, and basic procurement-related tasks as required.
Qualifications & Skills

Required
Bachelor's degree in business administration, communications, management, or a related field (or equivalent experience).
1-3 years of experience in an administrative, coordination, or communications support role.
Strong organizational and multitasking skills with attention to detail.
Excellent written and verbal communication skills.
Experience coordinating with cross-functional teams (CFTs).
Proficiency in common office and collaboration tools (e.g., MS Office, Google Workspace, project management tools).
Preferred
Familiarity with technical or research-driven organizations.
Basic understanding of communication workflows, stakeholder management, or project coordination.
Ability to work independently and adapt to changing priorities.
