Position SummaryThe Documentation & Planning Manager oversees the development, implementation, and maintenance of comprehensive documentation systems and strategic planning processes across the organization. This role ensures standardized documentation practices, maintains project planning frameworks, and supports operational efficiency through systematic information management and forward-looking strategic initiatives.

Key ResponsibilitiesDocumentation Management

Develop and maintain standardized documentation templates, procedures, and guidelines across all departments



Establish document version control systems and approval workflows to ensure accuracy and compliance



Coordinate with subject matter experts to create technical documentation, process manuals, and operational procedures



Implement and manage document management systems, ensuring accessibility and security protocols are maintained



Conduct regular audits of existing documentation to identify gaps, outdated content, and improvement opportunities



Strategic Planning

Lead annual and quarterly strategic planning processes, facilitating cross-functional collaboration and alignment



Develop planning frameworks, methodologies, and tools to support organizational goal-setting and execution



Create and maintain project planning templates, timelines, and resource allocation models



Monitor progress against strategic initiatives and provide regular reporting to executive leadership



Coordinate with department heads to ensure planning processes integrate operational requirements and constraints



Process Improvement

Analyze current documentation and planning workflows to identify inefficiencies and recommend solutions



Design and implement new processes that enhance organizational knowledge management and strategic execution



Train staff on documentation standards, planning methodologies, and system usage



Establish metrics and KPIs to measure the effectiveness of documentation and planning initiatives



Cross-functional Collaboration

Partner with IT, Legal, Compliance, and other departments to ensure documentation meets regulatory and operational requirements



Support project managers and team leaders in developing comprehensive project documentation and planning materials



Facilitate planning meetings, workshops, and strategic sessions across various organizational levels



Required QualificationsBachelor's degree in Business Administration, Project Management, Information Systems, or related field



5+ years of experience in documentation management, strategic planning, or project management roles



Proficiency in project management software, document management systems, and Microsoft Office Suite



Strong analytical and organizational skills with attention to detail



Excellent written and verbal communication abilities



Experience with process improvement methodologies (Lean, Six Sigma preferred)



Knowledge of compliance requirements and documentation standards relevant to the industry



Preferred QualificationsMaster's degree in relevant field



Project Management Professional (PMP) certification



Experience with enterprise documentation platforms (SharePoint, Confluence, etc.)



Background in change management and organizational development



Previous experience in real estate, professional services, or similar industry
