The Procurement Staff supports daily purchasing operations by collecting quotations, preparing purchase orders, coordinating with suppliers, and ensuring timely delivery of goods and services. The role works closely with the procurement team to maintain accurate records, compare prices, and ensure adherence to company purchasing procedures--especially relevant in the supermarket/retail environment.
Key Responsibilities
1. Daily Purchasing Activities
Collect quotations from multiple suppliers for required items.
Prepare and process Purchase Orders (POs) in line with company standards.
Follow up with suppliers to ensure timely delivery of goods.
Assist in identifying suitable vendors for supermarket inventory and consumables.
2. Supplier Coordination
Communicate regularly with vendors regarding pricing, stock availability, and delivery schedules.
Resolve basic supplier issues such as delays, incorrect deliveries, or quantity discrepancies.
Maintain professional relationships with supermarket product suppliers.
3. Documentation & Record Maintenance
Maintain accurate records of quotations, POs, delivery notes, and invoices.
Update purchase data and price lists in MS Office/ERP systems.
Ensure proper filing of procurement documents for audit purposes.
4. Price Comparison & Analysis
Compare supplier prices, offers, and product quality before finalizing purchases.
Assist in preparing comparison sheets and recommending cost-effective options.
Support in monitoring price changes in the supermarket inventory category.
5. Compliance & Process Support
Ensure all procurement activities follow company purchasing policies and approval procedures.
Coordinate with the store, accounts, and operations departments for smooth workflow.
Support the procurement team in inventory-related purchasing decisions.
Additional Requirements
Knowledge of supermarket products and fast-moving consumer goods (FMCG) is an added advantage.
Strong communication, follow-up, and time-management skills.
Ability to work in a fast-paced retail environment.
