Job Summary
The
Process Head
is responsible for supervising and optimizing the
entire operational workflow
across all departments -- including Sales, Billing, QC, Purchase, Inventory, E-Commerce, Logistics, Workshop, Customer Service, and Admin.
This role ensures
process standardization, SOP implementation, compliance with ISO practices, workflow efficiency
, and execution of continuous improvement methods such as
5S, Kaizen, Kanban
, and Lean principles.
The Process Head will be the key driver of operational discipline and consistent service quality across all jewellery business functions.
Key Roles & Responsibilities
1. End-to-End Operational Supervision
Monitor all departmental processes daily (Sales, QC, Billing, Workshop, Inventory, etc.).
Ensure workflow accuracy, timely task completion, and smooth coordination between departments.
Act as the central authority for operational issue resolution.
2. SOP Creation, Implementation & Audit
Develop and update SOPs for every role and department.
Conduct periodic audits to ensure SOP adherence and identify deviations.
Train teams on new SOPs and document process revisions.
3. Implementation of Lean Systems (5S, Kaizen, Kanban)
Lead 5S practice across showroom, workshop, inventory rooms, and back-office.
Conduct Kaizen activities to eliminate waste, reduce errors, and improve efficiency.
Implement Kanban boards for workflow visualization and inventory movement.
Promote Lean culture and continuous improvement mindset.
4. ISO Compliance & Process Quality Control
Ensure departments follow ISO-based operational guidelines.
Maintain documentation required for audits and compliance certification.
Conduct internal audits and ensure corrective actions are implemented.
5. Cross-Department Coordination & Flow Control
Ensure that items move seamlessly between Purchase ? QC ? Inventory ? Sales ? Billing ? Dispatch.
Monitor lead time for each stage and reduce delays.
Strengthen communication channels between departments.
6. Performance Tracking & MIS Management
Maintain daily/weekly/monthly operational MIS reports.
Track KPIs like production time, stock movement, error rate, rework %, and TAT.
Provide insights to management for decision-making and process improvements.
7. Team Leadership & Training
Supervise departmental incharges and ensure process discipline.
Train staff on SOPs, 5S, Kanban, and ISO practices.
Conduct monthly reviews and ensure continuous skill upgradation.
8. Quality Control of Operations
Ensure accuracy in product handling, record keeping, and stock movements.
Implement control mechanisms to avoid mismatch, damage, loss, and pilferage.
Reduce rework, customer grievances, and operational errors.
9. Customer Experience Improvement
Ensure all process touchpoints run seamlessly to deliver premium customer experience.
Resolve escalated customer issues related to operations, stock movement, or service delays.
10. Risk Management & Compliance
Identify operational risks and implement preventive controls.
Ensure safety, compliance, and best practices in all internal operations.
Job Specification (JS)
Education
Bachelor's degree in Engineering, Management, Operations, or related field.
Preferred: MBA / Certifications in Lean, Six Sigma, ISO, or Quality Management.
Experience
7-12 years
of experience in operations/process supervision.
Mandatory experience in
Lean tools
like Kaizen, 5S, Kanban,SOP.
Experience in
ISO audit preparation, documentation, and compliance
.
Jewellery industry experience preferred (or retail/manufacturing operations).
Technical Skills
Strong knowledge of SOP drafting & implementation.
Exposure to Lean concepts, Kaizen events, Kanban workflow systems.
Understanding of ISO standards (9001, 14001 or similar).
Strong in workflow mapping, process audits, and root cause analysis.
Excel/MIS reporting, dashboard creation, and data-driven decision-making.
Soft Skills
Excellent leadership and team coordination abilities.
Strong communication and problem-solving skills.
High attention to detail and process discipline.
Ability to handle pressure and manage multiple departments.
