The Process Coordinator will act as a key support to the Executive Director by managing communications, documentation, scheduling, and consolidated reporting across all group companies. The role requires strong coordination skills, confidentiality, and the ability to organize information efficiently to support strategic decision-making.
Key Responsibilities Executive Support & Communication
Handle all official communication on behalf of the Executive Director, including emails, letters, calls, and internal correspondence.
Prepare, maintain, and manage documents, files, presentations, and reports required by the Executive Director.
Ensure confidentiality and accuracy in all communication and documentation.
Calendar & Time Management
Manage the Executive Director's calendar, appointments, meetings, and travel schedules.
Coordinate meetings with internal teams, group companies, vendors, and external stakeholders.
Prioritize schedules to ensure optimal time utilization.
Reporting & Coordination
Collect periodic reports from all group companies and their respective departments.
Collate, analyze, and structure reports into a clear, presentable format for review by the Executive Director.
Track submission timelines and follow up with departments to ensure timely reporting.
Highlight key observations, pending actions, and critical updates.
Process & Follow-up
Monitor action points from meetings and ensure timely follow-ups with concerned teams.
Maintain records of decisions, approvals, and ongoing tasks.
Support improvement of internal coordination and reporting processes.
Skills & Competencies
Strong written and verbal communication skills
Excellent organizational and time-management abilities
Proficiency in MS Office (Excel, Word, PowerPoint, Outlook)
Ability to handle confidential information professionally
Coordination and follow-up skills across multiple teams
Qualification & Experience
Graduate in any discipline (management/administration preferred)
2-3 years of experience in coordination, executive assistance, or process management
Experience working with senior leadership is an advantage
