Role Overview
The Process Coordinator ensures smooth execution of end-to-end real estate operations--from lead flow and sales coordination to documentation, compliance, and post-sales processes. This role connects CRM, Sales, Accounts, Legal, and Developers so nothing gets stuck or missed.
Key ResponsibilitiesSales & CRM Process Coordination
Monitor lead movement from enquiry to closure
Ensure proper follow-ups, site visit updates, and booking status
Coordinate between CRM team and sales team for timely actions
Flag delays, gaps, or process breakdowns to management
Site Visit & Booking Process
Track site visit schedules and confirmations
Verify visit feedback, next actions, and conversion status
Coordinate booking process: token, application, documents
Ensure booking entries are complete and accurate
Documentation & Compliance
Collect, verify, and maintain customer KYC documents
Coordinate agreement to sell, allotment letters, and registration process
Track legal, banking, and developer documentation timelines
Maintain proper digital and physical records
Post-Sales & Handover Coordination
Track payment schedules and possession timelines
Coordinate between customer, builder, and internal teams
Handle escalations related to delays, documentation, or communication
Ensure smooth handover and customer closure
Process Control & Reporting
Create and maintain SOPs for sales, CRM, and post-sales
Prepare daily, weekly, and monthly process reports
Monitor TATs (turnaround times) and workflow efficiency
Suggest process improvements to reduce errors and delays
Required Skills & Qualifications
Graduate / Post-graduate (Operations / Management preferred)
Strong experience in real estate operations or coordination
Excellent follow-up, planning, and execution skills
Good communication with internal teams and clients
Strong command over Excel / Google Sheets / CRM tools
Basic knowledge of real estate documentation and compliance
