Overall Purpose of The Job


To provide consistent administrative support to Ship Management colleagues in the preparation and submission of pre-fixture questionnaires, ensuring all data and supporting documents are accurate and timely for commercial clearance of managed vessels.
To provide support to the Fleet Cell over extended and staggered hours in order to prepare consistently prompt and high-quality responses


Key Responsibilities and Tasks


  • Safety is our priority, and the Pre-Fixture Specialist shall alert the vessel\xe2\x80\x99s fleet cell team of any overdue safety items or surveys identified during the course of their normal work, to ensure mitigating actions are taken and responsible parties notified.
  • The Pre-Fixture Specialist is responsible shall ensure Customers of the Operations Centre receive completed questionnaires in a timely manner utilising the available software and systems, which are correct and verified.
  • Accountable for the execution of duties required to prepare questionnaires and other supporting documents. Overall accountability for the submission to third parties remains with the ISM DoC holding office.
  • Monitor the accuracy of vessels harmonised VPQs and Crew Matrices, updating any data that is required. This will ensure the questionnaire process is in a constant state of readiness.
  • To be an advocate of ShipSure and ensure it is properly utilised within the Operations Centre, Ship Manager and onboard. This includes guidance to the fleet cell on maintaining certificates and documents/plans for the vessels in Shipsure so that these are accurate and available at all times.
