About the Role
As the
Podcast Booking & Communications Executive
, you will own the entire guest lifecycle: from discovering powerful human stories in public spaces to preparing guests for the podcast, managing communication, scheduling shoots, coordinating logistics, and ensuring the episode runs smoothly.
This is a hybrid role involving:
Talent Scouting (street + online)
Field Interviews & Story Research
Guest Booking & Communication Management
Executive-level coordination with the Producer
Podcast preparation, documentation & scheduling
You must be confident speaking to strangers, highly organized, emotionally intelligent, and excellent at maintaining professional communication.
Develop and maintain a pipeline of strong human-interest guests aligned with show themes.
Scout talent from malls, parks, colleges, workplaces, events, communities, NGOs, and online platforms.
Identify compelling life stories with emotional depth and narrative impact.
Pitch the show confidently and secure confirmed guest bookings.
Maintain weekly and monthly booking calendars aligned with shoot schedules.
2. Talent Scouting & Field Research
Conduct on-ground micro-interviews (3-5 minutes) to evaluate:
story strength
turning points
emotional resonance
camera comfort & speaking ability
Collect videos and notes for Producer approval.
Research communities or groups where powerful stories may emerge.
Validate story authenticity when required.
3. Executive Communications & Guest Prep
Serve as the communication bridge between the Producer and confirmed guests.
Prepare briefing notes for the Producer:
story summary
key moments
emotional arcs
suggested narrative flow
Guide guests on expectations, shoot format, and conversation guidelines.
Conduct pre-interviews when needed to refine the narrative.
4. Scheduling & Production Coordination
Finalize dates, timings, call sheets, and shoot logistics.
Ensure guest arrival and readiness on shoot day.
Coordinate with production team (camera, audio, set operations).
Maintain structured documentation of all bookings, conversations, and episode pipelines.
5. Relationship Building & Network Development
Build long-term networks with communities, colleges, social groups, influencers, and local storytellers.
Maintain warm communication with past and future guests.
Identify new story clusters and emerging human-interest themes.
6. Travel Flexibility
Must be willing to travel within the city regularly.
Should be open to outstation and international travel for special episodes or series.

Strong verbal communication & interpersonal skills
Confidence approaching strangers
High emotional intelligence & storytelling understanding
Organized, detail-oriented, and reliable
Good at multi-tasking and managing calendars
Fluent in Hindi and English
Comfortable with quick mobile video recording and WhatsApp communication
Preferred (Not Mandatory):
Experience in casting, talent scouting, journalism, PR, events, sales, or community outreach
Field research or interviewing experience
Background in podcasting/content creation is a plus
