The POD Executive is responsible for managing and maintaining Proof of Delivery (POD) records, ensuring all shipment documents are collected, verified, updated, and shared with the concerned teams in a timely and accurate manner. The role plays a key part in ensuring smooth billing, client communication, and operational transparency.
Key Responsibilities:
Collect, verify, and update PODs for all dispatched consignments within the defined timelines.
Ensure all PODs are accurately scanned, uploaded, and stored in the system.
Coordinate with the operations and dispatch teams to track pending PODs.
Follow up with drivers, hubs, and branches to collect missing or delayed PODs.
Maintain proper records and reports of received and pending PODs.
Share PODs with customers or internal teams as per requirement.
Support the billing team by providing verified PODs for invoice processing.
Handle queries related to POD discrepancies or missing documents.
Ensure compliance with company SOPs and maintain confidentiality of documents.
Assist in periodic audits and ensure document completeness.
Skills & Competencies:
Strong attention to detail and accuracy.
Good communication and coordination skills.
Basic knowledge of logistics operations and documentation.
Proficiency in MS Excel, Word, and document management systems.
