The Change Management team is responsible for the planning and delivery of the strategic Change portfolio. The Change delivery portfolio is delivered across 8 key regional portfolios of work (Front Office, and Back Office which includes: Regulatory Compliance & Operations, Finance, Risk & Data, Human Resources, Technology, and Planning).

Within Change Management , the focus is on developing an understanding of the underlying Change data model and apply this to the maintenance of the quality of Change "golden source" of data including resource; project forecast and actuals; project, programme and portfolio scope and details. The data model supports several client's entities and the scope of this task will cover all discretionary activity, irrespective of funding source, as far as possible

This vacancy is for a PMO with Project Audit/Project Delivery Assurance experience

Responsibilities

Main Responsibility:
Delivering the Change Management Delivery Assurance "service", which includes policy and lifecycle process definition, training and communications, delivery assurance of projects.

  • Work closely with in-line PMO's to ensure end of phase reviews and other assurance requirements are completed within PLC framework tolerances
  • SOX reporting (Finance)
  • Internal audit liaison and action closure
  • Interfacing with other corporate governance / compliance teams to align CHG processes to their frameworks
  • Reporting - provide updates from delivery assurance to PMO & CHG executive reporting
Others:
  • Maintenance and continuous improvement of Portfolio, Programme and Project Management (PPM) toolset static data and "live" service. This will include delivering communications about changes to the toolset (both data and service) to the CHG community; and delivering training e.g. as part of on-boarding new users.
  • Manage all resource scheduling across the portfolio ($, headcount, spend)
  • Investigate, explain and produce commentary of variances to budget and forecast (rate and volume)
  • Apply understanding of policy vs working practice implemented in Planview to explain for example, blended Vs actual rate discrepancies"
  • Reconcile invoices received against forecasts and confirm actuals to date with project managers / PMO's. Work with Procurement, projects managers and Accounts Payable to resolve ad hoc Accounts Payable enquiries in order to resolve payment issues
  • Ensure project actuals / forecasts are kept up to date in the PPM tool via reconciliations with general ledger data and review of previous reports
  • Using the PPM tool, update and manage portfolio financials and provide consistent and accurate financial reports to stakeholders including International Head of Delivery Management; Central PMO Strategy and Reporting team; and teams in Headquarter (HQ).
  • Aggregate and report on project benefits, allocations and BAU impact and provide to Central PMO Strategy and Reporting team
  • Understand HQ reporting requirements are understood and productionised. We support multiple entity head offices .
  • You will attend meetings with the relevant teams and work in between with points of contact in HQ to propose and syndicate the solutions to requests using your Planview, CHG data model and Excel reporting skillset.
Policy & PLC Enhancement
  • Manage the plan & delivery of updates to policy, process, procedure and toolsets supporting the PLC framework, including continuous improvements arising from project PIR's and team suggestions
  • Operational risk management
  • Training, communications and SME support
  • Identify and arrange training for individuals presenting at Delivery Assurance forums
  • Support change induction training
Skills

Must have

Experienced and versed in PMO roles with 1st hand expertise in similar roles in Banking/financial services with the focus on project stage gate reviews from a governance perspective
  • 4+ years of relevant experience in project control/governance/audit/delivery assurance
  • Knowledge of Project Lifecycle Framework (managing project stage-gate) and proven experience in this area

  • Skills to analyse data and find out discrepancies proactively
  • Good communication, assertive and analytical
  • Strong individual who is willing to challenge accuracy when required and provide support to Project manager and PMO teams
Nice to have

Preferred:
  • Banking Experience
  • Experience of supporting -mainly Waterfall project
  • Experience with SOX (very desired)
