Role Profile
Reporting to the Director of LSE plc and FX Technology Operational Resilience, this role provides project management support, and project governance and control services to key projects and programmes in the Markets portfolio.
Working closely with the Markets Project Managers, Portfolio PMO and Finance, the Project PMO role is responsible for providing all primary PMO services to the Director of LSE plc and FX Technology Operational Resilience, including but not limited to support on project level:Supporting monthly reporting to the Markets Portfolio Boards
Supporting adhoc stakeholder updates
Risk and Issue management
Financial management (management of cost plans and tracking actuals)
Managing Statements of Work / Purchase Orders
Governance
Change control
Quality assurance
Key Responsibilities
Project Governance and Change ControlFacilitate the implementation of appropriate and standardised governance across the portfolio, in line with the LSEG Group standards
Coordinate the regular cycle of governance forums for the portfolio, ensuring that meetings are scheduled and appropriate stakeholders are invited
Attend and support the project governance forums to assist the project manager in tracking and managing project decisions, and further arising actions (produce meeting materials, minutes, actions log, decisions log)
Provide guidance on preparing for project Change Requests for changes to project funding, scope and/or key milestone timeline, as applicable
Assist the project management team with preparing for project releases and handover to production
Support the preparation of Business Cases, aligned with LSEG Group standards, for proposed projects, including project scoping, costing and resource requirements, and outlining the expected benefits case
Project Planning and Schedule ManagementThe Project PMO will support the Project Managers with:
The creation and maintenance of the delivery schedule, milestones and tasks in Clarity
Identification and tracking of dependencies between the delivery milestones and tasks
Maintenance of the delivery schedule baseline in the relevant scheduling tool(s)
Tracking the status of delivery milestones and tasks against the plan
Project Financial ManagementProvide tracking of the project financial budget, covering both the overall project budget and funding released for spend.
Support the creation and maintenance of the delivery cost plan, catering for both current year costs and full project life costs
Aid the tracking of and accounting for actual expenditure against the project, including both resource effort costs and purchase costs
Contribute to the planning and accounting for anticipated future expenditure (cost estimates) against the project, including both resource effort costs and purchase costs
Support the tracking of and accounting for total forecast expenditure (actual plus expected) against the project, including both resource effort costs and purchase costs
Provide assistance to the project managers with managing the project forecast expenditure against the authorised budget, accounting for any variances
Support the creation of additional funding requests and/or gated funding release requests as applicable
Project Resource ManagementAssist the project managers with creation and maintenance of the delivery resource plan, catering for both current year resourcing and full project life resourcing
Identify resource demand, by type and timing, based on the delivery tasks and milestones in the project plan
Aid with the sourcing and earmarking of delivery resources in line with the resource plan
Govern the tracking and approval of resource effort expended against the project (perform timesheet reviews)
Project Issue and Risk ManagementThe Project PMO will facilitate Issue and Risk Management by supporting the Project Managers with:
+ Identification and analysis of project delivery issues
+ Tracking the status of project delivery issues
+ Maintenance of the project risks log
+ Maintenance of the project issues log
+ Identification and analysis of project delivery risks
+ Tracking the status of project delivery risks
+ Converting project delivery risks to issues, where appropriate
Project Reporting and CommunicationsCoordinate the regular project reporting cycles and production of project reports and materials, in line with the established standards
Assist the project managers with providing regular project status updates, covering at least delivery, schedule, budget, resource, issue and risk management updates
Coordinate project communications to the relevant stakeholders
Project Quality AssuranceEnsure that the established LSEG Group Project Management standards are adhered to throughout the project lifecycle
Provide guidance and advice to the project manager in the adoption of and compliance with the LSEG Group Project Management standards
Ensure that project information is maintained, complete and up to date in line with the established standards
Ensure that project information and materials are maintained, stored, and accessible in the relevant tools and repositories as required by LSEG Group Standards
Ensure that project reports and information are consistent (e.g. risk information ties up with task dates, etc.)
Assist the portfolio manager with running project reviews, including in-flight reviews, post-project reviews, and/or post-implementation reviews, as applicable
Key Skills
EssentialProven experience in a similar project- or programme-level PMO role
Strong knowledge and experience of formal project management methodologies, project planning, and project financial and resource management
Strong computer literacy, including advanced knowledge of the MS Office suite of projects, and a willingness and skill to learn new tools quickly
Excellent documentation skills; ability to create high quality steering committee materials
Excellent interpersonal and communication skills and proven ability to work effectively with all organisational levels
Management of data and proficiency with project management and reporting tools such as Clarity PPM or other similar PPM tools
Willingness and ability to challenge and coach project managers on information consistency, quality, and standards
PreferredGlobal experience - working successfully with teams in multiple locations simultaneously
Experience in large investment banking or financial services organisations
Experience and knowledge of supporting a large number of projects
Educated to degree level or equivalent
