The IT PMO Executive plays a pivotal role in establishing and leading the Project Management Office within a software development environment. This role ensures that product and technology initiatives are delivered effectively through standardized project governance, portfolio visibility, and delivery best practices. The PMO will partner closely with Product, Engineering, and QA teams to improve project predictability, streamline processes, and enhance collaboration across Agile and hybrid delivery models.
Additionally, the PMO will also support governance and practices across Managed Services, Support operations, Consulting teams, and captive business environments
Key Responsibilities
1. Governance and Delivery Framework
Develop and implement a scalable project delivery framework tailored for Agile and software engineering teams.
Define governance standards for sprint planning, release management, and milestone tracking.
Ensure consistent documentation, risk management, and quality assurance across all software projects.
Facilitate regular project health checks, retrospectives, and continuous improvement sessions.
Support governance alignment across Managed Services, Support Operations, Consulting projects, and captive business units in addition to software development initiatives.
2. Portfolio and Program Management
Manage the software project and product portfolio to ensure alignment with business and technology goals.
Oversee major development initiatives such as platform builds, integrations, migrations, and customer-facing products.
Collaborate with Product Owners to ensure feature roadmaps and project timelines are achievable and transparent.
Monitor capacity, dependencies, and delivery pipelines across multiple Scrum or Kanban teams.
Provide visibility and support for portfolios related to Managed Services delivery, consulting engagements, and support operations.
3. Reporting and Performance Analytics
Coordinate with Project Managers / Delivery Managers and end users, analyze requirements and prepare / updated necessary documents.
Maintain and update documents for systems and business processes.
Coordinate with IT team develop schedule and deadlines according to project requirement.
Ability to prepare updates/ reports for senior leadership including summary of meetings and actions
Build and maintain dashboards and metrics on project delivery for consolidated projects.
Provide leadership with actionable insights into project performance, team throughput, and delivery trends.
Drive data-informed decision-making for prioritization and resource planning.
Support PMO-related audit documentation, evidence preparation, and compliance reporting for ISO internal and external audits.
4. Resource and Capacity Planning
Coordinate with Project Managers / Delivery Managers to manage resourcing across multiple squads and projects.
Track utilization, skill gaps, and future needs to support delivery scalability.
Support onboarding, mentoring, and professional development of project managers and scrum masters.
Participate in induction and onboarding of new joiners to ensure they understand PMO processes, delivery standards, governance requirements, documentation expectations, and ISO-aligned practices.
Support structured offboarding activities including documentation handover, knowledge transition, and ensuring compliance with PMO protocols
5. Billing, Invoicing and Credits
Coordinate with Project Managers / Delivery Managers to validate billing, invoicing and credits details to be submitted to the Finance team.
Update running forecast and actuals basis inputs from Project Managers / Delivery Managers for credits and invoicing details on a monthly basis.
6. Continuous Improvement and Tool Enablement
Champion best practices in Agile delivery, DevOps collaboration, and release management.
Introduce tools and automation to enhance project visibility and reporting (e.g., Jira, Confluence, GitHub, Notion, Power BI).
Foster a culture of accountability, transparency, and continuous learning across teams.
Lead change management initiatives that enhance efficiency without stifling innovation.
Conduct periodic PMO audits to ensure process compliance and readiness for internal governance checks and ISO certification audits.
Required Skills and Qualifications
Bachelor's degree in Computer Science, Information Systems, or related field.
Experience in software project or program management, with at experience in a PMO or delivery operations role.
Proven experience managing Agile teams and projects using Scrum, Kanban, or hybrid frameworks.
Excellent stakeholder management, communication, and analytical skills.
PMP, Agile Certified Practitioner (PMI-ACP), SAFe, or similar certification would be nice to have.
Exposure to Managed Services delivery models, support operations, consulting processes, and captive business environments is a strong advantage.
