Job Summary
The PMO Associate supports operational excellence and project governance by coordinating IT enablement, client visits, hiring processes, and performance tracking within a dynamic BPO environment. The role ensures smooth cross-functional collaboration, manages change and incident processes, and contributes to financial tracking, procurement, and employee engagement initiatives.
Key Responsibilities
1. Collaborate with internal IT teams and external vendors to implement client-mandated system updates. Ensure timely rollout of new technologies, tools, and platforms that support operational efficiency and compliance with client requirements.
2. Plan, coordinate, and execute all aspects of client visits, including scheduling, logistics, presentations, and stakeholder interactions. Ensure a professional and engaging experience that reflects the organization's values and capabilities.
3. Act as the liaison between project teams and HR to initiate hiring requests based on workforce planning. Track recruitment progress, ensure timely onboarding, and support hiring managers in aligning talent acquisition with project needs.
4. Monitor and analyze team performance metrics regularly. Support the implementation and tracking of Performance Improvement Plans (PIPs), and generate actionable reports to aid leadership in decision-making and performance management.
5. Lead the coordination of change requests and incident resolution processes. Work closely with IT and operations teams to ensure minimal disruption to services and timely communication of updates to stakeholders.
6. Coordinate on any SOW and MSA change requests
7. Maintain consistent and transparent communication with key internal stakeholders including IT, Admin, HR, Legal, and Finance. Facilitate regular updates, status meetings, and cross-functional collaboration to ensure alignment on project goals.
8. Drive the adoption and effective use of project management tools, collaboration platforms, and reporting systems. Provide training and support to teams to maximize the value of these technologies.
9. Design and execute initiatives that foster a positive work environment, such as celebrating employee milestones (e.g., work anniversaries), organizing team-building events, and supporting wellness programs at the project level.
10. Assist in preparing project budgets, tracking expenditures, and generating financial reports. Ensure financial discipline and alignment with organizational policies and client expectations.
11. Coordinate procurement of project-related equipment and services. Maintain accurate records of assets, ensure timely allocation, and oversee lifecycle management in collaboration with the Admin and IT teams.
12. Create and maintain business review decks, dashboards, and reports.
13. Ensure consistency in formatting, branding, and messaging.
14. Maintain a repository of past reviews for reference and audits.
15. Facilitate discussions, capture feedback, and ensure follow-ups
