The Pharmacy Stores Executive is responsible for managing the receipt, storage, issuance, and documentation of all pharmaceutical and related items. This role ensures proper inventory control, compliance with drug storage regulations, and timely availability of medicines and consumables to meet operational and patient care needs.
Key Responsibilities:
1. Inventory Management
Receive and verify pharmaceutical supplies against purchase orders and invoices.
Ensure all medicines are stored according to prescribed temperature and storage requirements.
Maintain accurate and up-to-date stock records (GRN, issue slips, batch numbers, expiry dates).
Conduct daily, weekly, and monthly stock checks and reconcile discrepancies.
Monitor inventory levels and inform the Purchase Department for replenishment.
Implement First Expiry First Out (FEFO) and First In First Out (FIFO) principles.
2. Issuance & Distribution
Issue medicines and consumables to various departments/pharmacy counters as per approved indents.
Record and track all stock movement transactions in the ERP or inventory management system.
Support ward/pharmacy staff with medicine availability and stock queries.
3. Compliance & Quality Control
Ensure storage areas meet regulatory and quality standards (temperature, humidity, cleanliness).
Check expiry dates regularly and coordinate the removal or return of expired/near-expiry items.

Assist in pharmacy audits and documentation for licensing and accreditation.
4. Reporting & Coordination
Prepare and submit regular stock, expiry, and consumption reports to management.
Liaise with suppliers, purchase, and accounts for timely invoice processing and stock updates.
Support new product entries, vendor follow-ups, and stock valuation activities.
Skills & Competencies:
Strong knowledge of pharmaceuticals, inventory management, and storekeeping.
Familiar with drug storage norms, batch tracking, and expiry management.
Experience with pharmacy software (e.g., HIS, ERP, Tally, Marg, or similar).
Good analytical, organizational, and record-keeping skills.
Attention to detail and strong compliance orientation.
Excellent communication and teamwork abilities.
Qualifications & Experience:
Education:
D. Pharm / B. Pharm / M. Pharm (preferred) or Diploma in Pharmacy Management.
Experience:
2-5 years in hospital pharmacy stores, pharmaceutical warehouse, or retail chain store.
