We are seeking a highly organized, proactive, and professional Personal Secretary to support the CEO of our 4PL consultancy. The ideal candidate will manage daily executive operations, ensure smooth communication, and maintain strict confidentiality while coordinating schedules, meetings, and business documentation.
Key Responsibilities: Executive Support
Manage the CEO's calendar, appointments, travel arrangements, and daily schedule.
Prepare and organize documents, presentations, reports, and meeting materials.
Handle incoming and outgoing emails, calls, and correspondence on behalf of the CEO.
Coordinate and follow up on tasks, deadlines, and action items.
Meeting & Communication Management
Schedule, plan, and facilitate internal and external meetings.
Record and distribute minutes of meetings and track follow-ups.
Maintain strong communication with internal departments and external partners/clients.
Administrative & Office Management
Prepare confidential letters, agreements, and business documentation.
Maintain filing systems (physical and digital) with high accuracy.
Manage expense reports, reimbursements, and basic financial tracking for the CEO.
Operational Coordination (4PL-Specific)
Coordinate with supply chain, logistics, and operations teams to align the CEO's directives with ongoing projects.
Assist in preparing logistics performance reports and project updates for executive review.
Support the CEO in client communication, vendor coordination, and strategic supply-chain planning.
Confidentiality & Professionalism
Handle sensitive information with discretion and trustworthiness.
Maintain a high level of professionalism in all interactions.
Qualifications:
Bachelor's degree in Business Administration, Management, or related field.
2-5 years of experience as an Executive Assistant/Personal Secretary (experience in logistics or 4PL/3PL preferred).
Excellent written and verbal communication skills.
Strong organizational, multitasking, and time-management abilities.
Proficiency in MS Office (Word, Excel, PowerPoint) and digital communication tools.
Ability to work independently and manage high-pressure situations.
