Job Summary:
The Personal Secretary to the Director will provide high-level administrative and secretarial support, ensuring smooth day-to-day operations. The role requires excellent organizational, communication, and multitasking skills to assist the Director in managing schedules, correspondence, confidential matters, and business coordination.
Key Responsibilities:
-Act as the first point of contact for the Director, managing phone calls, emails, and correspondence.
-Maintain the Director's calendar, schedule appointments, and organize meetings, both internal and external.
-Prepare and circulate meeting agendas, minutes, presentations, and reports.
-Handle confidential documents and information with integrity and discretion.
-Coordinate travel arrangements (domestic & international), including visas, accommodation, and itineraries.
-Screen, prioritize, and follow up on incoming requests and issues addressed to the Director.
-Liaise with internal departments, external stakeholders, and clients on behalf of the Director.
-Draft and proofread official documents, letters, and communications.
-Organize and maintain office filing systems (electronic and physical).
-Perform other administrative and personal assistance tasks as required.
Requirements:
-Bachelor's degree in Business Administration / Management / Secretarial Studies (preferred).
-Proven experience as a Personal Secretary / Executive Assistant to Senior Management (2-5 years preferred).
-Excellent communication skills (verbal and written).
-Strong organizational and time-management skills.
-Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
-Ability to handle sensitive and confidential information with professionalism.
-High level of discretion, integrity, and adaptability.
-Smart, professional appearance and etiquette.
