We are looking for a highly organized, discreet, and proactive
Personal Secretary
to support the Managing Director (MD) in day-to-day administrative and operational tasks. The ideal candidate will be responsible for managing the MD's schedule, coordinating communications, and ensuring smooth execution of business and personal affairs. This role requires exceptional time management, communication skills, and the ability to handle confidential information with utmost integrity.
Key Responsibilities:Administrative Support
Manage and maintain the MD's calendar, including appointments, meetings, and travel arrangements
Prepare correspondence, reports, and presentations on behalf of the MD
Organize internal and external meetings, prepare agendas, and take meeting minutes
Coordinate with senior executives, stakeholders, and external contacts
Manage incoming emails and calls, prioritizing and responding where appropriate
Travel & Logistics
Arrange domestic and international travel, accommodation, visas, and transportation
Prepare detailed travel itineraries and manage travel expenses and reimbursements
Document & File Management
Maintain and organize confidential files, records, and legal documents
Assist in drafting and reviewing internal communications and reports
Ensure timely submission of reports, proposals, and key documents
Liaison & Coordination
Act as the primary point of contact between the MD and internal/external stakeholders
Follow up on delegated tasks and projects to ensure progress and completion
Support the MD in liaising with board members, partners, and senior management
Personal Assistance
Handle selected personal tasks including appointments, reservations, and errands as needed
Manage gifting, event planning, and special arrangements for personal and professional occasions
Qualifications & Skills:
Bachelor's degree in Business Administration, Management, or a related field
Minimum 3-5 years of experience as a Personal or Executive Secretary, preferably supporting C-level executives
Excellent written and verbal communication skills
High level of discretion, professionalism, and organizational skills
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Workspace, and productivity tools
Ability to prioritize and multitask in a fast-paced environment
Strong attention to detail and ability to work independently
