The Personal Secretary to the Director provides high-level administrative, secretarial, and organizational support to ensure smooth functioning of the Director's office. The role requires excellent communication skills, confidentiality, professionalism, and the ability to manage multiple tasks efficiently.
Key Responsibilities
1. Administrative & Secretarial Support
Manage the Director's daily schedule, appointments, and meetings.
Organize travel itineraries, accommodations, and logistics.
Draft, review, and manage correspondence, emails, memos, and reports.
Accompany the Director on business trips, meetings, site visits, and events as required.
Prepare meeting agendas, minutes, and follow-up action items.
2. Office Coordination
Maintain organized filing systems (physical and electronic).
Coordinate with internal departments and external stakeholders on behalf of the Director.
Handle incoming calls, visitors, and inquiries with professionalism.
3. Communication & Liaison
Act as the primary point of contact between the Director and staff/clients.
Convey messages and directives clearly and accurately.
Maintain confidentiality and discretion at all times.
4. Task & Project Management
Track deadlines, commitments, and ongoing projects for the Director.
Assist in preparation of presentations, documents, and reports.
Monitor and manage office supplies relevant to the Director's office.
5. Confidentiality & Professional Conduct
Manage sensitive information with the highest level of integrity.
Uphold professional behavior and ensure adherence to company policies.
