A Personal Secretary provides high-level administrative support to an individual by managing schedules, correspondence, travel arrangements, and other personal and professional tasks. The role demands discretion, organization, efficiency, and strong communication skills.
Key Responsibilities
:
Administrative Support
:
Manage calendars and schedule appointments.
Organize meetings, prepare agendas, take notes, and follow up on action items.
Maintain filing systems and retrieve documents when needed.
Communication Management
:
Handle incoming and outgoing calls, emails, and correspondence.
Draft letters, reports, memos, and other documents.
Act as the first point of contact for internal and external inquiries.
Travel & Logistics
:
Organize travel itineraries, book flights, hotels, and transport.
Ensure all arrangements align with the executive's preferences.
Personal Errands and Tasks
(if applicable):
Manage personal appointments (e.g., doctor, family events).
Oversee personal finances or household staff coordination (if required).
Confidentiality & Discretion
:
Handle sensitive information with utmost confidentiality.
Exercise good judgment in all professional interactions.
Required Skills and Qualifications
:
Bachelor's degree (preferred but not mandatory).
2+ years of experience in a similar role.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Discretion and confidentiality.
Time management and the ability to meet deadlines.
