Job Description

Key Responsibilities:



1.

Administrative Support:



Manage and coordinate the executive's schedule, appointments, and meetings. Maintain daily calendar, emails, and communications on behalf of the management. Organize travel arrangements, accommodations, and itineraries for management. Handle confidential documents and information with utmost discretion.
2.

Documentation and Reports:



Prepare reports, presentations, and correspondence for higher management. Maintain and update records, files, and databases relevant to the management's operations. Ensure timely submission of reports and follow-up on tasks assigned by management.
3.

Meeting Coordination:



Plan, organize, and take minutes of meetings, ensuring follow-up on action items. Assist in preparing agenda and materials for important meetings. Liaise with internal and external stakeholders for meeting schedules and information exchange.
4.

Communication and Liaison:



Serve as the point of contact between higher management and internal/external stakeholders. Screen and prioritize calls, emails, and requests, addressing issues or directing them to the appropriate departments. Foster strong communication between management and different departments, including academic, administrative, and external partners.
5.

Project Coordination:



Assist in planning and managing special projects as assigned by management. Track project timelines, deliverables, and ensure the management is updated on progress.
6.

Event Planning:



Coordinate and manage events, conferences, and seminars involving higher management. Handle invitations, guest lists, and venue arrangements as per the requirements.
7.

Professionalism and Confidentiality:



Maintain a professional demeanor in interactions with management, faculty, and students. Uphold confidentiality and integrity in handling sensitive information and communications.

Qualifications & Skills:



Education:

Bachelor's degree in Pharmacy or related field is essential.

Experience:

Minimum 2 years of experience in a similar role, preferably in an academic or corporate environment.

Technical Skills:

Proficiency in MS Office (Word, Excel, PowerPoint), email management, and digital tools for calendar and meeting management.

Communication Skills:

Excellent verbal and written communication skills in English; knowledge of other languages is a plus.

Organizational Skills:

Strong multitasking, time-management, and problem-solving abilities.

Interpersonal Skills:

Ability to work under pressure, manage multiple priorities, and interact professionally with senior executives and stakeholders.

Attention to Detail:

Strong attention to detail in documentation, scheduling, and project management.

Confidentiality:

High level of discretion in handling sensitive information.
