We're seeking a highly skilled and experienced Personal Secretary to provide strategic administrative support to our Chairman. The successful candidate will be responsible for managing the Chairman's schedule, correspondence, and other administrative tasks, ensuring the smooth operation of the Chairman's office.
Key Responsibilities:
- Manage the Chairman's schedule, including appointments, meetings, and travel arrangements
- Prepare and edit correspondence, reports, and other documents
- Coordinate with other departments and stakeholders to ensure smooth operations
- Maintain confidentiality and discretion at all times
- Make travel arrangements, including flights, hotels, and transportation
- Coordinate with the Chairman's family and other stakeholders as required
- Prepare briefing materials and other documents for the Chairman's review
- Manage the Chairman's correspondence and respond to emails and letters
- Maintain records and files, both physical and digital
- Manage the Chairman's diary and ensure timely follow-up on actions
- Coordinate with other personal assistants and secretaries as required
- Prepare and manage the Chairman's expense reports
- Manage and maintain the Chairman's office supplies and equipment
- Coordinate with vendors and service providers as required
- Prepare and distribute meeting minutes and action items
- Ensure compliance with company policies and procedures
- Manage and coordinate with other teams, such as HR, Finance, and IT, as required
- Perform other duties as assigned by the Chairman
Requirements:
- 3+ years of experience as a personal secretary or in a similar role
- Excellent communication and interpersonal skills
- Strong organizational and time management skills
- Proficiency in MS Office and other productivity software
- Ability to work independently and as part of a team
- Excellent drafting and writing skills
- Valid secretarial certifications or training (e.g., CCS, ACS)
- Experience working with senior executives or in a corporate environment
- Knowledge of Indian business culture and protocols
- Familiarity with [Location] and surrounding areas
Preferred:
- MBA or equivalent degree
- Experience working in a similar industry
