Job Description

We are seeking a highly organized and discreet Personal Secretary to provide comprehensive administrative and secretarial support to our Director. The ideal candidate will be a proactive, reliable, and detail-oriented professional who can manage a wide range of administrative tasks, ensuring the smooth and efficient operation of the executive's daily schedule.

Key Responsibilities:



Administrative Support:

Manage and organize the executive's calendar, including scheduling meetings, appointments, and travel arrangements.

Communication:

Handle all incoming and outgoing correspondence, including emails, phone calls, and mail. Draft, edit, and proofread documents, presentations, and reports.

Travel Management:

Plan and coordinate domestic and international travel, including booking flights, hotels, and ground transportation. Prepare detailed itineraries.

Meeting Coordination:

Schedule and prepare for meetings, including booking meeting rooms, arranging for necessary equipment, and preparing agendas and meeting minutes.

Confidentiality:

Maintain the utmost confidentiality regarding all sensitive information, documents, and discussions.

Event Planning:

Assist with the planning and execution of company events, conferences, or internal gatherings as needed.

Record Keeping:

Organize and maintain physical and digital files, ensuring all documents are easily accessible and up-to-date.

Qualifications:



Education:

Bachelor's degree or equivalent experience is preferred.

Experience:

1 years of experience as a Personal Secretary, Executive Assistant, or in a similar administrative role.

Skills:

Exceptional organizational and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong verbal and written communication skills. Ability to work independently and exercise sound judgment. High level of professionalism, discretion, and a positive attitude.
