The Personal Assistant to the Unit President will provide high-level administrative, organizational, and confidential support to the Unit President. The role requires close coordination with him on a daily basis, managing schedules, meetings, documentation, and travel arrangements. The incumbent must be willing to travel extensively with the Unit President for professional engagements and ensure seamless execution of meetings, correspondence, and official responsibilities.
Key Responsibilities
Administrative & Executive Support
Act as the primary point of contact between the Unit President and internal/external Visitors.
Manage and prioritize his daily schedule, appointments, and commitments.
Handle confidential information with the highest level of discretion and professionalism.
Meetings & Documentation
Arrange, coordinate, and attend meetings as per his schedule.
Prepare agendas, take accurate minutes of meetings, and circulate Minutes of Meeting (MoM) in a timely manner.
Maintain systematic records of meetings, decisions, action items, and follow-ups.
Ensure proper documentation, filing, and retrieval of official records and correspondence.
Travel & Coordination
Travel with the Unit President for all professional engagements every time.
Coordinate travel logistics including itineraries, accommodations, and meeting schedules during travel.
Ensure all documents, presentations, and materials required during travel are prepared in advance.
Scheduling & Follow-ups
Maintain and monitor meeting calendars, deadlines, and action points.
Coordinate with senior management, board members, and external parties to ensure timely follow-ups.
Track tasks assigned by him and provide regular status updates.
Skills & Competencies
Excellent organizational and time-management skills.
Strong written and verbal communication abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and documentation tools.
Ability to multitask, prioritize, and work under pressure.
High level of discretion, integrity, and professionalism.
Flexibility to travel extensively and work beyond standard office hours when required.
Qualifications & Experience
Bachelor's degree in Business Administration, Management, or a related field (preferred).
Minimum
5-10 years
of experience as a Personal Assistant or Executive Assistant to senior leadership (Unit President)
Prior experience in handling board-level meetings and documentation is highly desirable.
Work Environment
Office-based with frequent domestic and international travel.
Requires close, daily interaction with the Unit President.
