Job Title: Personal Assistant (PA) & Administrative Executive

Job Summary:
The Personal Assistant & Admin Executive will provide comprehensive administrative and organizational support to senior management. This role involves managing schedules, coordinating meetings, handling documentation, ensuring smooth office operations, and acting as a point of contact internally and externally. The ideal candidate should be proactive, detail-oriented, and capable of handling confidential information with professionalism.
Key Responsibilities:
1. Executive & Personal Assistance
Manage calendars, appointments, and daily schedules for senior management.
Coordinate meetings, conference calls, and travel arrangements (domestic & international).
Prepare meeting agendas, minutes, and follow-up action items.
Handle confidential information with utmost discretion.
Draft and review emails, letters, and reports on behalf of management.
2. Administrative Support
Maintain and organize company documentation, records, and files.
Assist in preparing presentations, reports, and MIS data when required.
Coordinate internal communication for announcements, reminders, and updates.
Support HR and admin activities like onboarding coordination, attendance follow-up, and event planning.
Manage procurement of office supplies, vendor coordination, and service follow-ups.
3. Office & Operations Management
Oversee day-to-day office operations to ensure a smooth working environment.
Coordinate maintenance and repair activities with vendors.
Monitor inventory and ensure timely replenishment of office utilities.
Manage courier handling, visitor coordination, and reception-related tasks when needed.
4. Communication & Coordination
Serve as the primary point of contact between management and internal/external stakeholders.
Ensure timely communication, reminders, and follow-ups.
Liaise with different departments for data or support required by management.
Skills & Competencies Required:
Excellent communication (written & verbal) and interpersonal skills.
Strong organizational and multitasking abilities.
Proficient in MS Office (Word, Excel, PowerPoint).
Ability to work independently with minimal supervision.
Time management and prioritization skills.
Professional attitude, discretion, and confidentiality.
Qualifications & Experience:
Bachelor's degree in any discipline.
2-5 years of experience as a PA, Admin Executive, or similar role.
Experience supporting senior leadership is preferred.
