to support the Head of Department (HOD) in managing day-to-day operations, academic scheduling, departmental communications, and administrative duties. The ideal candidate will possess excellent communication and coordination skills and will be adept at handling sensitive information with discretion.
Key Responsibilities:
Administrative Support
Manage and maintain the HOD's calendar, including scheduling meetings, appointments, and travel.
Draft, proofread, and manage correspondence on behalf of the HOD.
Organize and maintain departmental files, documents, and records (physical and digital).
Prepare agendas, take minutes, and follow up on actions from departmental meetings.
Academic Coordination
Assist in coordinating class schedules, guest lectures, and academic events.
Liaise with faculty, staff, and students on behalf of the HOD.
Track academic deadlines, curriculum changes, and accreditation requirements.
Help prepare departmental reports, presentations, and academic documentation.
Communication & Liaison
Act as the first point of contact for internal and external stakeholders.
Manage communication between the HOD and faculty, students, parents, and administration.
Draft internal notices, announcements, and memos as needed.
Project & Event Support
Assist with organizing departmental events, seminars, workshops, and conferences.
Monitor project timelines and deliverables for departmental initiatives.
Coordinate with vendors, guest speakers, and other departments when needed.
