We are looking for a highly professional and experienced Personal Assistant (PA) to provide end-to-end support to the Directors. The ideal candidate will have a minimum of 5 to 7 years of experience in a similar role, with strong organizational skills, discretion, and the ability to handle multiple responsibilities with efficiency and professionalism.
Key Responsibilities:
Administrative & Executive Support
Manage the Directors' daily schedules, meetings, appointments, and travel itineraries.
Handle all email, call, and written correspondence on behalf of the Directors with professionalism and confidentiality.
Prepare high-quality reports, presentations, meeting notes, and documentation.
Track tasks, deadlines, and important follow-ups to ensure smooth workflow.
Operations & Liaison
Act as the point of contact between the Directors and internal/external stakeholders.
Coordinate with various departments to ensure timely execution of tasks and reporting.
Manage confidential documents, records, and office systems efficiently.
Project Management
Assist in planning, tracking, and reporting of projects or business initiatives.
Conduct research and gather information for business decisions and strategic planning.
Follow up on action items and ensure accountability across teams.
Personal & Lifestyle Management
Organize personal tasks, appointments, and travel arrangements for the Directors and their families (as needed).
Handle household coordination, vendor management, and errands with discretion.
Manage expenses, budgets, and reimbursements for both business and personal requirements.
Event & Travel Coordination
Plan and execute meetings, events, business dinners, and off-site visits.
Make travel arrangements (domestic/international), visas, hotel bookings, and logistics.
Requirements:
Minimum 5 to 7 years of experience as a Personal Assistant or Executive Assistant to senior management/directors.
Bachelor's degree in Business Administration or a related field (preferred).
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent communication, interpersonal, and time management skills.
High degree of discretion, loyalty, and ability to handle confidential information.
Strong multitasking ability, attention to detail, and solution-oriented mindset.
Comfortable working in a fast-paced environment with changing priorities.
Working Conditions:
Full-time role with flexibility in working hours depending on Directors' schedule.
May involve occasional travel, evening, or weekend availability.
