Job Description

The Personal Assistant to the Director will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Director. This pivotal role requires a highly organized, proactive, and discreet individual who can handle a wide range of administrative and executive support tasks and manage the Director's complex schedule, ensuring smooth operations and efficient time management.

Core Responsibilities

Administrative & Calendar Management:



Comprehensive calendar management:

Organize and maintain the Director's daily schedule, including internal and external meetings, appointments, and travel itineraries, anticipating conflicts and proactively resolving them.

Travel Coordination:

Arrange detailed domestic and international travel logistics, including flights, accommodation, visas, ground transportation, and preparing comprehensive itineraries and expense reports.

Communication Hub:

Act as the gatekeeper, filtering and prioritizing incoming communications (emails, calls, mail) and responding appropriately or directing them to relevant departments.

Meeting Preparation:

Prepare agendas, presentations, meeting materials, and minutes for meetings, ensuring all necessary documentation is available and organized.

Operational Support & Coordination:



Project Assistance:

Assist the Director with specific projects, including research, data compilation, and preparing reports relevant to the jewellery manufacturing and sales processes.

Document Management:

Maintain an organized physical and digital filing system for confidential documents, contracts, and business records.

Liaison:

Facilitate seamless communication between the Director's office and other departments (e.g., Design, Manufacturing, Sales, Finance) as well as external stakeholders, clients, and vendors.

Event Support:

Assist in the planning and execution of company events, trade shows, or client hospitality events as needed.

Confidentiality & Discretion:



Handle sensitive information

with the highest degree of confidentiality and discretion, recognizing the critical nature of intellectual property and business strategy within the jewellery industry.
Required Skills & Qualifications

Experience:

Proven experience (3+ years) as a Personal Assistant or Executive Assistant supporting C-suite level executives, preferably within the luxury goods, retail, or manufacturing sector.

Organizational Prowess:

Exceptional organizational skills with meticulous attention to detail and the ability to multitask and prioritize effectively in a fast-paced environment.

Communication Skills:

Excellent written and verbal communication skills in English [and any local language requirements, e.g., Gujarati/Hindi], with a professional demeanor.

Technical Proficiency:

Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with CRM or project management tools is a plus.

Problem-Solving:

Proactive approach to problem-solving, with the ability to foresee needs and act independently.

Discretion & Trustworthiness:

A high level of integrity and professional discretion is non-negotiable for this role.

Industry Knowledge (Advantageous):

A basic understanding of the jewellery industry, including product types and market dynamics, would be beneficial.
Job Type: Full-time

Pay: ₹20,000.00 - ₹40,000.00 per month
