Manage and coordinate the MD's professional and personal calendars.
Schedule patient appointments, meetings, consultations, and conferences.
Anticipate scheduling conflicts and proactively resolve them.
Organize travel arrangements, itineraries, hotel bookings, and transportation.
2. Office & Communication Management
Act as the primary point of contact between the MD and staff, patients, hospital administrators, and external partners.
Screen and prioritize emails, calls, and messages.
Draft, edit, and proofread correspondence, reports, and presentations.
Maintain filing systems--digital and physical.
3. Project & Research Support
Assist with academic projects, manuscripts, presentations, or research coordination.
Conduct literature searches and prepare briefing materials.
Track deadlines, grant timelines, and conference submissions.
4. Personal Assistance
Manage personal appointments, errands, and household coordination as needed.
Support day-to-day tasks to help maintain work-life balance.
Skills & QualificationsRequired
Proven experience as an executive assistant, personal assistant, or office manager.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office, Google Workspace, and scheduling tools.
Ability to maintain confidentiality (HIPAA compliance if working with medical records).
Professionalism, discretion, and reliability.
Preferred
Bachelor's degree in business administration OR MBA.
