Job Description

A PA to MD (Personal Assistant to Managing Director) job involves high-level administrative, organizational, and sometimes strategic support, focusing on managing the MD's schedule, correspondence, travel, and meetings, while handling confidential information and facilitating communication between the MD, staff, and external stakeholders, ensuring the executive's time is used efficiently. Key duties include calendar management, travel booking, report preparation, liaison, and acting as a gatekeeper for the executive. Core Responsibilities

Calendar & Schedule Management:

Plan, schedule, and manage the MD's appointments, meetings, and commitments.

Communication Handling:

Screen and respond to emails, phone calls, and letters, drafting correspondence on behalf of the MD.

Travel Coordination:

Arrange complex travel itineraries, flights, hotels, and visas.

Meeting Preparation:

Prepare agendas, gather materials, book venues, and take minutes for meetings, including board meetings.

Document & Report Preparation:

Draft, edit, format, and prepare reports, presentations, and other documents.

Information Management:

Maintain organized filing systems (digital and physical) and handle confidential information with discretion.

Stakeholder Liaison:

Act as a point of contact between the MD, internal departments, board members, and external partners.

Project Support:

Assist with special projects, event planning, and data collection/research.
Key Skills & Qualifications

Skills:

Excellent organization, time management, multitasking, communication (written & verbal), discretion, Microsoft Office Suite proficiency, and strong interpersonal skills.

Experience:

Previous experience as a PA or Executive Assistant is crucial.

Education:

Often a bachelor's degree in Business Administration or related field
