The Personal Assistant to the Managing Director will provide high-level administrative, secretarial, and operational support to ensure the smooth functioning of the MD's day-to-day activities. The role demands confidentiality, efficiency, and strong organizational skills.
Key Responsibilities:
Administrative Support
Manage the MD's calendar, appointments, and travel schedules.
Prepare meeting agendas, minutes, and follow-up actions.
Handle daily correspondence--emails, calls, and official communications.
Office Coordination
Coordinate between departments (production, sales, accounts, design) for smooth workflow.
Track and update project status reports for MD review.
Ensure timely completion of tasks assigned by the MD.
Documentation & Reporting
Maintain important company documents, reports, and confidential files.
Draft letters, memos, and presentations as instructed by the MD.
Assist in data entry, Excel reporting, and file management.
Client & Vendor Communication
Support the MD in handling client queries, meeting coordination, and follow-ups.
Communicate with suppliers and partners on behalf of the MD when required.
Scheduling & Travel
Organize meetings, events, and travel arrangements (tickets, hotel bookings, itineraries).
Maintain expense records and prepare reimbursement summaries.
Confidentiality & Professionalism
Handle sensitive information with discretion.
Maintain a professional attitude in all interactions.
Skills Required:
Excellent communication (English & Malayalam).
Proficiency in MS Office (Word, Excel, PowerPoint).
Time management and multitasking ability.
Smart, organized, and confident personality.
Experience in coordination and follow-up roles.
