:
Manage the MD's daily calendar and ensure the MD is prepared for meetings, appointments, and events.
Coordinate internal and external meetings, conferences, and calls.
Organize and prioritize the MD's time and tasks to meet critical deadlines.
Communication
:
Serve as the primary point of contact between the MD and internal/external stakeholders.
Handle incoming phone calls, emails, and correspondence, and respond or redirect as appropriate.
Prepare and manage communication (letters, reports, presentations) on behalf of the MD.
Travel Arrangements
:
Organize and book domestic and international travel, including flights, hotels, transportation, and itineraries.
Prepare travel documentation, including itineraries and briefing notes for the MD.
Meetings and Presentations
:
Prepare materials for meetings, presentations, and reports.
Take notes and record meeting minutes when required.
Coordinate with relevant team members to ensure required resources and information are available for meetings.
Project Support
:
Assist with the preparation and follow-up of key projects or initiatives being led by the MD.
Help with research, data gathering, and report preparation for various business needs.
Confidentiality and Documentation
:
Maintain confidentiality in all dealings, particularly with sensitive company information.
Manage and organize important documents, contracts, and files for easy access and retrieval.
Office Administration
:
Handle office supplies, maintain the MD's office environment, and ensure everything is in order.
Prepare and process invoices, purchase orders, and other office-related administrative tasks.
Event and Hospitality Management
:
Organize company events, conferences, or team-building activities on behalf of the MD.
Oversee guest arrangements, including welcoming guests, arranging hospitality, etc.
Liaison with Executives and Staff
:
Serve as a liaison between the MD and senior executives or staff members, ensuring smooth communication and information flow.
Provide assistance to other department heads or senior managers as needed, based on the MD's directives.
