Job Description

The Personal Assistant to the Managing Director is a critical role responsible for providing high-level administrative, strategic, and organizational support. You will be the MD's primary gatekeeper and a trusted partner, enabling them to focus on strategic leadership and business growth. The ideal candidate is a master of multitasking, possesses impeccable judgment, and thrives in the vibrant, deadline-driven world of advertising. Key Responsibilities



1. Executive & Administrative Support:



Proactively manage and coordinate the MD's complex and dynamic calendar, scheduling meetings, appointments, and client pitches with a strategic understanding of priorities. Handle all incoming correspondence (email, calls, mail), filtering, prioritizing, and actioning items as needed. Draft professional and polished responses on behalf of the MD. Prepare agendas, pre-reading materials, and presentations for meetings; attend key meetings to take detailed minutes and track action items to ensure follow-through.

2. Travel & Logistics Management:



Arrange seamless domestic and international travel, including flights, accommodations, ground transportation, and visa applications. Create detailed travel itineraries and anticipate all logistical needs. Process and manage expense reports accurately and in a timely manner.

3. Communication & Stakeholder Liaison:



Act as the primary point of contact between the MD and internal departments (Creative, Client Servicing, Strategy, Finance), as well as external stakeholders including high-profile clients, partners, and vendors. Maintain a high level of professionalism and discretion in all communications, fostering positive relationships on behalf of the MD's office.

4. Project & Client-Facing Support:



Assist in the preparation of client presentations, pitch decks, and business proposals using PowerPoint, Keynote, or Google Slides. Conduct research on prospective clients, competitors, and market trends to support strategic initiatives. Coordinate logistics for key client meetings, workshops, and company events. Help track high-priority projects and deadlines, ensuring the MD is kept informed of progress and potential roadblocks.

5. Confidentiality & Discretion:



Handle highly confidential and sensitive information regarding clients, personnel, and business strategy with the utmost discretion and integrity. Manage sensitive documents, contracts, and reports, ensuring proper filing and security.

Qualifications & Skills



Experience:

5+ years of experience as a Personal Assistant or Executive Assistant supporting a C-level executive.

Industry Experience:

Experience within an advertising, marketing, media, or creative agency is highly desirable.

Technical Proficiency:

Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace. Experience with presentation software (Keynote) is a plus.

Education:

Bachelor's degree in Business Administration, Communications, or a related field is preferred.
