Job Description

Daily Status Report:

Consolidate data from all departments into a concise, actionable daily report (EOD) covering key metrics, bottlenecks, and flagged items for the Proprietor's review.

Action Tracking:

Maintain a centralized log of tasks assigned by the Proprietor, tracking their status and ensuring timely completion by relevant team members.

Communication Hub:

Act as the internal liaison between the Proprietor and department staff for routine inquiries and follow-ups.

Sales Pipeline Monitoring:

Track the status of active sales leads and ensure all required follow-up actions (quotes sent, calls made) have been logged by the sales team.

Order Fulfillment Check:

Monitor newly placed orders to confirm they have been properly communicated to the Production and Dispatch teams.

Dispatch Tracking:

Monitor the daily dispatch schedule, confirm booking details (courier, tracking ID), and ensure customers are notified of shipment status.

Production Schedule Oversight:

Monitor the daily progress against the production plan, flagging any potential delays or deviations immediately.

Raw Material Check:

Conduct periodic checks on key inventory levels (in coordination with the warehouse team) and alert the Proprietor when stock reaches reorder points.

Quality Documentation:

Ensure required quality control documentation (if applicable) is filed and easily accessible.

Receivables Monitoring:

Track the status of outstanding invoices, following up internally with Sales on confirmed payment dates and reporting daily cash flow expectations.

Payables Organization:

Collect and organize vendor invoices, expense receipts, and bank statements, ensuring all documents are correctly handed over to the external Accountant/Bookkeeper for processing.

Bank Reconciliation Status:

Monitor the timeline for monthly bank reconciliation and ensure the books are closed on schedule.
