The Assistant to the Chief Operating Officer (COO) plays a pivotal role in ensuring the smooth operation of the executive office. This position requires a highly organized and proactive individual who can manage multiple tasks efficiently. The ideal candidate will provide comprehensive administrative support, assist in project coordination, and help facilitate effective communication within the organization. This role is essential for maintaining the productivity of the COO and ensuring that all operational tasks are executed seamlessly.
Responsibilities
Provide executive administrative support to the COO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Assist in event planning and execution for company meetings, conferences, and other corporate events.
Manage project coordination tasks to ensure timely completion of initiatives.
Perform bookkeeping duties using QuickBooks and maintain accurate financial records.
Handle data entry, filing, and clerical tasks to support office operations.
Maintain office management functions, including supply inventory and equipment maintenance.
Conduct proofreading and transcription of documents as needed.
Utilize Microsoft Office Suite and Google Workspace for document creation, presentations, and spreadsheets.
Answer multi-line phone systems with professionalism and strong phone etiquette while providing excellent customer service.
Support front desk operations by greeting visitors and managing incoming communications.
Skills
Strong organizational skills with attention to detail to manage multiple priorities effectively.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
Experience with QuickBooks for bookkeeping purposes is preferred.
Excellent typing skills for efficient data entry and transcription tasks.
Prior experience in administrative roles or as a personal assistant is highly desirable.
Familiarity with calendar management tools such as Microsoft Outlook Calendar.
Ability to work collaboratively within a team environment while also being self-motivated.
Strong written and verbal communication skills for effective interaction with internal teams and external stakeholders.
Knowledge of DocuSign for document management is a plus.
