Job Purpose:
To provide high-level administrative, secretarial, and organizational support to the Managing Director (MD), ensuring efficient handling of all business and coordination of internal and external communication, and managing the MD's day-to-day schedule in a dynamic construction environment.
Roles & Responsibilities:
Reporting to Managing Director (MD) and performing secretarial and administrative duties.
Typing, formatting, and editing reports, documents, and presentations.
Entering data, maintaining databases, and keeping records.
Managing internal and external correspondence on behalf of senior management.
Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their manager's attention
Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
Booking and arranging travel, transport and accommodation
Organizing events and conferences
Qualifications & Experience:
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Discretion and confidentiality
- Professionalism and a proactive attitude
- Time management and attention to detail
- Good knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with construction industry terms and workflow is a plus
- Bachelor's degree in Business Administration / Secretarial Practice / Communications
- 3+ years of experience as a Personal or Executive Secretary, preferably in the construction or engineering sector
- Fluency in English and local languages
