Job Description

We are seeking a

highly dependable, detail-oriented, and proactive Personal Assistant

to provide end-to-end administrative, coordination, and follow-up support to the Managing Director (MD).



The PA will act as a

key coordination link

between the MD and internal/external stakeholders, ensuring smooth communication, systematic task tracking, and timely execution of assigned responsibilities. This role demands

excellent follow-up skills, discretion, strong organization, and ownership mindset

.

Working Details



Working Hours:

10:00 AM - 6:30 PM

Working Days:

6 days a week

Preferred Location:

Panchkula / Mohali / Zirakpur / Chandigarh

Key Responsibilities



Executive & Administrative Support





Provide day-to-day administrative and personal assistance to the Managing Director Manage MD's schedule, meetings, reminders, and daily priorities Screen and manage calls, emails, and requests on behalf of the MD

Coordination & Follow-ups





Coordinate with internal departments, senior staff, vendors, and external stakeholders Track tasks and responsibilities delegated by the MD and ensure timely follow-ups Maintain task trackers, follow-up sheets, and basic MIS reports

Communication & Documentation





Draft and manage professional emails, letters, notes, and internal communications Prepare documents, summaries, and reports using MS Excel and MS Word Ensure clear and accurate communication between the MD and stakeholders

Operational Support





Assist in online research, data compilation, and information gathering as required Support smooth execution of operational tasks assigned by the MD

Confidentiality & Trust





Handle sensitive information with complete confidentiality and discretion Assist with limited personal tasks of the MD when required

Requirements

Experience & Qualification



Graduate (Secretarial / Administrative background preferred)

3-5 years

of experience as a Personal Assistant, Executive Assistant, Secretary, or Office Coordinator Prior experience supporting senior leadership is highly preferred

Skills & Competencies



Excellent follow-up and task-tracking skills (

mandatory

) Strong organizational, planning, and multitasking abilities Good command of spoken and written English Proficiency in MS Excel, MS Word, email, and internet tools Ability to work under pressure and manage multiple priorities High integrity, honesty, and discretion Ownership mindset with a solution-oriented approach

Panchkula / Mohali / Zirakpur / Chandigarh

Preference for candidates seeking a

Ability to commute within reasonable travel time Preference may be given to candidates with a stable personal setup
